Definition Intelligence LLC ("Definition Intelligence," "we," "us," or "our") provides a Microsoft Word add-in and related website that help you look up defined terms, sections, exhibits, and schedules within your own documents (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By using the Service, you agree to this Privacy Policy.
1. Your documents stay private
- The add-in analyzes the text of your document locally, inside Microsoft Word, on your own device.
- We do not upload, copy, store, or transmit the contents of your documents to our servers or to any third party.
- We do not index or retain your contracts, agreements, or any other document text.
The only exception is any information you choose to send us yourself, such as text you include in a support request (see Section 3). No document content leaves your device unless you send it.

3. Information we collect
We collect only what we need to provide the Service and manage your subscription.
a. Account and identity information.
When you sign in through a third-party sign-in service, that service shares your name and email address with us so we can recognize your account and confirm your subscription. We do not receive or store your sign-in password.
b. Subscription and payment information.
When you purchase a subscription, payment is handled by our third-party payment providers. We never see or store any part of your payment details. We may keep records of your subscription status, plan, and the email associated with your purchase so we can manage your access. If you purchase through the Microsoft commercial marketplace, Microsoft processes that payment under its own terms.
c. Support requests.
If you contact us for support, we receive whatever information you choose to include, such as your email and a description of your question. You are responsible for the information you choose to send us, and we are not responsible for, and assume no obligation regarding, any confidential information you include in a support request.
d. Use records.
Group subscriptions are measured by concurrent use, so we keep limited records of when the Service is in use and under which account. We use these records only to confirm your subscription and to apply the limits of your plan. They do not include your document content.
e. Cookies and analytics.
Our website does not use advertising cookies, tracking pixels, or third-party analytics. Signing in and completing a purchase may set cookies that are necessary for those functions to work.
4. How we use information
We may use the information above to:
- Provide, maintain, and improve the Service;
- Recognize your account and confirm your subscription;
- Manage payments, renewals, and cancellations;
- Respond to your support requests; and
- Send you service-related messages, such as billing or important notices.
5. How we share information
We do not sell your personal information. We may share information only as follows:
- Service providers who help us run the Service, such as our hosting provider, our sign-in service, and our payment provider, each under its own terms.
- Legal and safety reasons, if required by law or legal process, or to protect the rights, property, or safety of Definition Intelligence, our users, or others.
- Business transfers, in which your information may transfer as part of a merger, acquisition, or sale of assets.
6. Data storage and security
Your account and subscription information is stored on Microsoft Azure infrastructure. We limit access to it and use reasonable measures to protect it. No method of storage or transmission is completely secure, so we cannot guarantee absolute security; by design, what we hold does not include your document content.
7. Data retention
We keep account and subscription information for as long as your account is active and as needed to meet our legal, tax, and accounting obligations. You may request deletion of your account information by contacting us at support@definitionintelligence.com, and we will respond to such requests as required by applicable law.
8. Your rights
Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you. Because we do not collect your document content, any such request would concern only your account and billing information. To the extent these rights apply to you, contact us at support@definitionintelligence.com, and we will respond as required by applicable law.
9. Processing and storage of your information
We operate in the United States. Your information may be processed and stored in the United States and in other locations where our service providers operate. If you use the Service from outside the United States, you understand that your information may be processed in these locations.
10. Minors
The Service is intended for professional use by adults and is not directed to anyone under 18. We do not knowingly collect personal information from individuals under 18.
11. Changes to this Policy
We may update this Privacy Policy from time to time. Any changes take effect when we post the updated policy with a new "Last updated" date. Your continued use of the Service after the updated Policy is posted means you accept the revised Policy.
